Senior Operations Executive

Role Overview

Brandsquare is hiring a Senior Operations Executive to ensure operational accuracy, execution discipline and cross department coordination as the company continues to scale.

This role focuses on maintaining system accuracy, operational tracking, SOP execution and structured workflows across departments.

As a Senior Operations Executive, you will help maintain operational alignment across Sales, Product, Marketing and Operations teams, ensuring tasks, timelines and processes are followed consistently.

This is a senior individual contributor role inside a fast scaling U.S. registered software and systems company working with professionals across healthcare, legal, finance, real estate and technology.

Key Responsibilities

Senior Operational Execution

  • Oversee day to day operational and administrative activities across departments
  • Ensure tasks, timelines and deliverables remain on track
  • Track assignments, follow up with teams and close execution gaps
  • Maintain operational discipline and consistency across workflows
  • Escalate risks, delays or system gaps to the Operations Lead when required

System & ERP Ownership

  • Maintain and update company ERP data with high accuracy
  • Ensure trackers, sheets and internal systems reflect real execution
  • Monitor system usage and identify inconsistencies or misuse
  • Suggest improvements to workflows, trackers and system structure
  • Support implementation of new operational tools and system updates

SOP Execution & Process Improvement

  • Ensure all SOPs are followed across departments
  • Maintain updated SOP documentation based on real operations
  • Identify process gaps and recommend operational improvements
  • Support rollout of updated SOPs and workflows
  • Ensure teams understand and follow defined operational processes

Interdepartmental Coordination

  • Coordinate closely with Sales, Product, Marketing and Operations teams
  • Track cross team dependencies and shared deliverables
  • Ensure smooth handoffs between departments
  • Resolve small operational blockers through structured coordination
  • Maintain alignment across teams on operational priorities

Program & Office Operations

  • Coordinate internal programs, meetings and company activities
  • Oversee onboarding and offboarding execution with proper setup
  • Maintain workspace readiness, cleanliness and operational standards
  • Manage inventory tracking, utilities and office supplies
  • Ensure purchase requests and approval workflows are followed

MTO Program Oversight

  • Oversee execution of the Management Trainee Officer (MTO) Program
  • Monitor trainee progress, assignments and learning milestones
  • Ensure trainees follow company systems, discipline and operational standards
  • Coordinate with department leads to assign meaningful training tasks
  • Track performance, feedback and development of MTO participants
  • Ensure the program develops future team members aligned with company systems and culture

Policy & Communication Oversight

  • Ensure internal policies and operational rules are followed
  • Maintain official communication channels across departments
  • Track and manage leave records and approvals accurately
  • Ensure communication follows company protocols
  • Flag policy issues or misuse for appropriate action

Reporting & Operational Tracking

  • Prepare daily, weekly, monthly and quarterly operational reports
  • Maintain monthly, quarterly and yearly KPI tracking systems
  • Share structured updates with leadership
  • Highlight risks, delays and execution bottlenecks
  • Maintain accuracy across all operational reports and dashboards

Team Support & Mentorship

  • Support and guide junior and mid level Operations Executives
  • Assist in training team members on operational systems and workflows
  • Help maintain execution discipline across the operations team
  • Support hiring and onboarding when required
  • Act as a reliable execution point for leadership instructions

Requirements

  • 3+ years experience in operations or administrative operations
  • Strong execution discipline and follow up ability
  • Experience working with ERP tools, trackers and SOP based systems
  • Ability to coordinate across multiple departments
  • Strong reporting, documentation and data accuracy skills
  • Confidence using modern operational tools and software
  • Calm, responsible mindset with strong ownership
